A 12-Point Checklist for Hiring Top Employees

Start by following this 12-point checklist for hiring:

  1. Make sure you need a full-time hire. Rather than hiring a new full-time employee, there may be ways to get the work done without adding to your core staff. The last thing you want is to bring someone on board, only to realize you can’t sustain demand.
  2. If you do need to hire full-time, collaborate with your recruiting team, including HR, a potential co-worker, and internal customer, to work out the key requirements and salary for the position. Define what qualifications, skills, traits and experience you are seeking.
  3. Develop a job ad to post both internally and externally. Network and post jobs online on social media sites such as Twitter and LinkedIn. Post the position on professional association websites, talk to university career centers, and contact South Florida staffing firms. Also, send out an email to your employees about the position so they can spread the word.
  4. Confirm to all candidates via email that you have received their resumes and will be in touch if they are a good fit for the job.
  5. Once you have a number of candidates who have applied for the position, screen resumes against the qualifications and criteria established. Create a short list of candidates to schedule phone screens with.
  6. Based on the results of the phone screens, narrow your list of qualified candidates for a first interview with the hiring manager and an HR representative. Communicate with the candidate about the process and how long it’s expected to take.
  7. Meet with your recruiting team to determine which (if any) candidates to invite back for a second interview. Determine who will be involved in the second round of interviews. Only include those who will impact the hiring decision.
  8. Based on second round interviews, narrow your list down to your top pick candidates. Invite them to participate in any necessary testing and background checks.
  9. In the meantime, verify their references and credentials.
  10. Work with the recruiting team to make a final hiring decision. If the team isn’t in agreement, the supervising manager should make the final decision.
  11. Reach out to the candidate and talk informally about whether he or she is interested in the job at the offered salary and stated conditions.
  12. If they are, make a written job offer that includes the new job description and salary.
